Position Summary

The Property Manager / Office Manager is responsible for overseeing the daily operations of assigned properties while also managing office administration, tenant communication, vendor coordination, records, and general business support. This role requires strong organization, professionalism, problem-solving skills, and the ability to balance property management responsibilities with office management duties.

The ideal candidate is dependable, detail-oriented, customer-service focused, and able to handle multiple priorities in a fast-paced environment.

Key Responsibilities

  • Serve as the primary point of contact for tenants, property owners, vendors, and service providers.
  • Manage day-to-day property operations, including tenant requests, maintenance coordination, inspections, and follow-up.
  • Respond to tenant concerns, maintenance issues, and general property inquiries in a professional and timely manner.
  • Coordinate repairs and maintenance with internal staff, contractors, and outside vendors.
  • Schedule property inspections, service appointments, move-ins, move-outs, and other property-related activities.
  • Maintain accurate property records, lease files, vendor information, work orders, invoices, and office documents.
  • Assist with rent collection, payment tracking, tenant notices, and account follow-up as directed.
  • Prepare and distribute correspondence, notices, reports, and other administrative documents.
  • Support leasing activities, including showing available units, answering applicant questions, processing applications, and assisting with lease paperwork.
  • Monitor office supplies, equipment, filing systems, and general office organization.
  • Answer phones, greet visitors, respond to emails, and provide general administrative support.
  • Assist with budgeting, expense tracking, invoice processing, and basic bookkeeping tasks as needed.
  • Ensure properties and office operations comply with company policies, lease agreements, and applicable rules or regulations.
  • Communicate regularly with management regarding property issues, tenant concerns, maintenance needs, and operational updates.
  • Maintain a professional, organized, and customer-focused office environment.
  • Perform other duties as assigned.

Qualifications

  • Previous experience in property management, office management, administrative support, real estate, leasing, or a related field preferred.
  • Strong communication and customer service skills.
  • Excellent organizational skills and attention to detail.
  • Ability to prioritize tasks and manage multiple responsibilities at once.
  • Basic understanding of leases, tenant relations, maintenance coordination, and property operations preferred.
  • Proficient with computers, email, Microsoft Office, and general office software.
  • Experience with property management software is a plus.
  • Ability to work independently and maintain confidentiality.
  • Professional appearance and demeanor.
  • Valid driver’s license may be required.

Physical Requirements

  • Ability to sit, stand, walk, bend, and move throughout the workday.
  • Ability to walk properties, climb stairs, and inspect interior and exterior areas as needed.
  • Ability to lift or carry office supplies, files, or small equipment up to 25 pounds.
  • Ability to work in an office environment and occasionally visit properties in varying weather conditions.

Work Schedule

This is a full-time position based in Bowling Green. Schedule may vary based on business needs. Occasional evenings, weekends, or after-hours availability may be required for emergencies, tenant issues, property showings, or special projects.
