Location: Shreveport, LA
Job Type: Full-Time
Schedule: Monday – Friday, 8:00 AM – 5:00 PM
Pay: $40,000 – $60,000 per year (based on experience)

Job Description

We are seeking a dependable and detail-oriented HVAC Service Dispatcher to join our team in Shreveport, LA. This position plays a key role in coordinating service operations, supporting field technicians, and ensuring excellent customer satisfaction through effective communication and scheduling.

The ideal candidate is organized, customer-focused, and able to manage multiple priorities in a fast-paced service environment.

Key Responsibilities

  • Receive and respond to all client inquiries and complaints in a professional and timely manner

  • Report any out-of-line conditions affecting customer satisfaction

  • Receive incoming service requests and assign work based on priority

  • Dispatch and manage the daily workload of assigned field technicians

  • Order materials required for service and repair jobs

  • Complete weekly time reports and verify technician hours and expenses

  • Perform daily follow-up on after-hours service calls

  • Monitor customer complaints and ensure issues are resolved promptly with the best possible solution

  • Manage monthly maintenance workloads to ensure completion and provide updates as needed

  • Schedule all client site visits for non-service calls and maintenance visits

  • Manage approved repair work to meet client needs while maximizing profitability

  • Invoice completed service calls and jobs

  • Provide complete weekly status reports for all open calls

  • Maintain and close open call reports in a timely manner

  • Keep open work notes updated and dispatch board current

  • Dispatch and cover additional technicians in the event of absences

Position Requirements & Qualifications

  • Experience in an HVAC service dispatching position is preferred; however, candidates with 5+ years of office or administrative experience will be considered

  • Proven written and verbal communication skills necessary to complete assigned tasks

  • Strong customer service orientation with a team-focused attitude

  • Demonstrated tact and professionalism when interacting with management, technicians, and staff

  • Excellent planning, organizing, and time management skills

  • Ability to prioritize tasks while remaining flexible and adaptable

  • Strong problem assessment and problem-solving abilities

  • Effective information gathering and monitoring skills

  • High level of accuracy with strong attention to detail
