We have partnered with a local organization who is committed to building stronger communities through affordable housing, financial empowerment, and sustainable development. We are seeking a part time, detail-oriented, highly organized, and proactive Finance & Project Coordinator to join our mission-driven team.


Position Summary

This part-time role is central to the financial health and operational efficiency of our organization. You will manage a wide range of accounting, payroll, grant tracking, and reporting responsibilities, ensuring accuracy, compliance, and timely execution of all financial processes.  Experience with Quickbooks Online is required.


Key Responsibilities

📊 Financial Management & Reporting

  • Manage accounts payable and receivable, including reimbursable expenses, sponsorships, grants, and home revitalization projects.
  • Prepare and analyze monthly, quarterly, and annual financial reports (P&L, Balance Sheet, Cash Flow, Budget vs. Actual).
  • Maintain and update recurring invoice and adjustment spreadsheets.
  • Perform monthly reconciliations for multiple bank and credit card accounts.
  • Ensure accuracy of year-to-date financials by correcting date errors and adjusting entries.

🧾 Payroll & Tax Compliance

  • Process bi-weekly payroll and verify timesheets.
  • File and pay federal and state payroll taxes (941, MNUI, MN WH) using QBO and state portals.
  • Maintain compliance with quarterly and annual reporting requirements.

🏦 Grant & Donation Tracking

  • Enter and reconcile donations and grants from platforms like Bloomerang, OneCause, and Qgiv.
  • Track grant disbursements and upload required documentation to state and partner portals.

📁 Audit & Documentation

  • Prepare for annual audits by organizing and uploading financial documents, contracts, and board materials to internal hubs.
  • Complete audit questionnaires and assist auditors with access and documentation.

🏘️ Mortgage & Escrow Management

  • Record and reconcile mortgage payments, escrow analyses, and property tax statements.
  • Coordinate with banks and internal teams for fund transfers and reporting.

🛠️ Operational Support

  • Enter and reconcile utility bills, vendor invoices, and credit card transactions.
  • Support special events by reconciling auction payments and entering ticket sales.
  • Maintain accurate records of PTO, mileage reimbursements, and staff communications.

Qualifications

  • 3+ years of experience in accounting, finance, or nonprofit operations.
  • Proficiency in QuickBooks Online (QBO), Excel, and cloud-based platforms.
  • Strong attention to detail and ability to manage multiple deadlines.
  • Experience with nonprofit financial reporting and grant tracking is a plus.
  • Excellent communication and organizational skills.
