bilingual Administrative Assistant

$20.00 - $27.00/hour DOE

part time - Wednesdays & Thursdays: 8:30am-5pm

Fridays: 8am - 4pm 

 

POSITION SUMMARY: Work in a multicultural setting as one of four team members. Provide phone reception services, receive clients and visitors, schedule client appointments, and provide administrative support to several programs. Perform clerical work as requested.

 

ESSENTIAL JOB FUNCTIONS/MAJOR JOB RESPONSIBILITIES:  

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.

 

        Frequently communicate via reading, writing, speaking and translating in Spanish and English.

        Remain aware of the lobby, welcome and direct clients and visitors to the appropriate person.

        Answer and route incoming phone calls to proper individuals.

        Routinely check phone messages and route or return calls the same day unless the message was left after hours.    

 

        For the Mental Health (MH) Program:

o   Schedule Mental Health Appointments

o   Create client profile in EHR system

o   Verify OHP and other insurance in MMIS

o   Make appointment reminder calls and document in EHR

o   Create MH intake packets

o   Support coordination of service with PCPs and process MH referrals

o   Support Healthy Relationships Group (DV and AM) clients, referrals, and communication with referral sources

 

        For the Safe Route Immigration Program:

o   Schedule immigration counseling clients

o   Answer phone calls and voicemails, document in detail in BlueDot database

o   Accept payments and post them to BlueDot

o   Receive documents from clients

o   Receive registration for Citizenship classes

        Must have well-developed communication skills, both written and verbal and in Spanish and English

        Must be able to multitask and set priorities

        Must be able to use Windows, Word, and Excel and have knowledge of general office functions and office etiquette

        Must be able to use a multi-line phone system

        Must be able to stay calm and work well under pressure

        Ability to work well in a team setting

        Good organizational skills

        Must be able to work in a multicultural setting

        Requires strict adherence of HIPAA standards in the office workspace to ensure confidentiality

 

EDUCATION and/or EXPERIENCE: Must have a minimum of a High School diploma, GED, or equivalent.   Must have at least two years of related reception desk or administrative support experience.  Related experience in a non-profit setting is preferred.
